Record your refunds in Cliniko!

We’re super excited to announce that you can now record refunds and create credit notes directly from an invoice! It’s easy to do and automatically syncs up with the rest of your Cliniko account. This post will give you a brief rundown of how it all works and where you can find more info.

A quick overview of Cliniko refunds.

Refunds are a necessary part of doing business.

Maybe a client paid in advance for an appointment they couldn’t keep. Or maybe they’re returning an item they purchased from your clinic. No matter the reason, you need an easy way to return funds to your patients.

That’s why we’ve made it possible for you to create credit notes and record refunds in your Cliniko account. Let’s take a look at how it all works!

To get started, just find the invoice that you want to refund. Then, look up at the top of the page where you’ll now see a new button labelled ‘Reverse’. Select that button, and off you go!

You’ll then come to another page titled ‘New credit note’. Here you’ll see the line items from the invoice are pre-populated with the original invoice items, but the dollar amounts are now shown as negative.

You can reverse the entire invoice or just certain line items. You also have the option to record partial refunds for each item by adjusting the quantity or unit price. Any changes you make will automatically show up in the total at the bottom of the page.

After that, you’ll just need to decide if your refund will create a credit and also return funds back to the client, or if your refund will only create an account credit which can then be applied towards a future invoice.

No matter which option you choose, a credit will be created. The only difference is whether or not that credit remains on the client’s account or if it’s immediately paid back to them. Either way, everything gets saved in your patient’s file and automatically synced with the rest of your Cliniko data.

If you need to look at any refunds or credit notes you’ve created, you’ll find them on your invoices and payments lists. Credit notes will be included with your ‘Invoices’, and you’ll find refunds alongside your ‘Payments’. Refunds will also be included in your ‘Daily payments’ report and ‘Payment summary’ report.
